# Manage visitor parking

# Manage visitor parking

When visitors are invited to your building, parking can be arranged in advance -- either by the person inviting them or by the visitor themselves through their SmartPass link. As a site administrator, you have visibility across all visitor parking bookings and can look up vehicles by registration number.

## How parking is arranged

There are two ways parking is set up for a visitor:

* **Reserved by the host** -- the person inviting the visitor picks a specific parking bay during the invitation. The booking is confirmed straight away.
* **Self-booked by the visitor** -- the host enables self-booking when sending the invitation. The visitor then browses available spaces on their SmartPass page and books one themselves, or skips it if they are not driving.

In both cases, the visitor can enter their **vehicle registration number** on their SmartPass page so it is on file when they arrive.

## View visitor parking bookings

1. **Navigate** to **Visitors** from the card or menu.
2. Switch the scope to **My Organisation** or **Whole Site** to see visitors across your site if you have the permissions.
3. Open any visitor's detail page to see their parking information, including the **parking bay** and **vehicle registration number**.

## Look up a vehicle by registration number

When a car arrives at the gate and security needs to confirm the booking:

1. From the **Visitors** page, use the search or filter to look up the **vehicle registration number**.
2. The matching visit (or visits) will appear, showing the visitor's name, the person they are visiting, and the expected date.

> **Tip:** If two visitors have the same vehicle registration number, both visits will appear. Check the dates and the person being visited to identify the correct booking.

## Parking and cancellations

When a visit is cancelled, any linked parking booking is automatically cancelled too. There is nothing extra you need to do -- the parking bay becomes available again straight away.

Visitors can also cancel their own parking booking from their SmartPass page at any time before they arrive.
