Log in for the first time

Welcome to Smart Core Connect! This guide walks you through signing in for the first time. You will have received an invitation email from your organisation — that is your starting point.

Before you start

Check your inbox for an invitation email from Smart Core Connect. If you cannot find it, check your spam or junk folder.
You will need to create your sign-in credentials (such as a password) as part of the process.

Accept your invitation

Open the invitation email and click the link inside it.
You will be taken to your organisation's sign-in page. Create your credentials — depending on how your organisation has set things up, this may be a password, a passkey, or a connection to your company's existing sign-in system.
Once your credentials are set, you will be signed in and taken straight into Smart Core Connect.

Tip: If your organisation uses a company-wide sign-in system (like Microsoft or Google), you may be able to sign in with your existing work credentials instead of creating new ones.

Sign in on return visits

Open Smart Core Connect in your browser.
Click Sign In.
Complete the sign-in process using the credentials you set up previously.

Invite and manage users

Your organisation's Users page is where you add new people, review who has access, and manage their accounts. Every person who needs to use Smart Core Connect at your organisation must be invited here first.

Invite a new user

Navigate to your account settings page.
Open the Users page from the left-hand menu under Organisation.
Click the + button in the card header. If your organisation has no users yet, click Create User instead.
Enter the new user's email address in the modal that appears, then click Save.
Copy the invitation link from the confirmation dialog if you need to share it manually. The dialog also confirms that an invitation email has been sent.
Close the dialog. The new user now appears in the table with a Pending Invitation status.

The invitee will receive an email with a link to set up their password, complete their profile, and sign in.

Manage existing users

Open the Users page. You will see a list of all users showing their details and account status.
Check each user's status. It will show as one of:

Enabled -- the user can sign in normally.
Pending Invitation -- the user has been invited but has not yet set up their account.
Disabled -- the user's access has been turned off.

Click the actions menu on any user row to see the available options. Depending on the user's status, you can:

View your visitor list

View your visitor list

Your visitor list shows all the visitors you have invited, along with their current status. You can quickly see who has arrived, who is still expected, and review past visits.

View your visitors

Navigate to Visitors from the menu or card.
Your list defaults to My Visitors -- these are the visits you created.
Each visit shows the visitor's name, company, expected date, and current status.

Filter and search

Use the date filter to narrow your list to a specific day or date range.
Use the status filter to show only visitors with a particular status, such as Confirmed, Checked In, or Completed.

View visit details

Click on any visitor in the list to open their full details.
The detail page shows:

Visitor name and company
Expected date
Check-in code
Check-in and check-out times (if applicable)
Parking details (if arranged)
Action buttons appropriate to the current status (for example, Cancel or Check Out)

Understanding visitor statuses

Create and publish an announcement

Create and publish an announcement

Use announcements to communicate with everyone at your site or just the members of your organisation. You can draft a message, review it, and publish when you are ready.

Before you start

You need permission to create announcements. Site admins can post site-wide announcements; organisation members can post announcements for their own organisation at the site.

Create a draft

Navigate to the Announcements page from the main navigation.
Click the Create Announcement button.
Enter a title for your announcement.
Choose a category -- for example, Alert, Event, Food, or General.
Add a description explaining the details your audience needs to know.
Set the scope to control who sees the announcement. Choose Site-wide for everyone at the site, or your organisation name to limit it to your team.
Set the start and end dates and, optionally, a location. Toggle All Day on if the announcement covers an entire day.
Click Save as Draft to save without publishing. Nobody else will see the announcement yet.

Publish the announcement

Open the draft announcement from the list.
Review the details, then click Publish. The announcement is now visible to everyone in the selected scope.

Open the published announcement and click Edit.

Smart Pass for Visitors

SmartPass: pre-registration for visitors

When you invite a visitor, they receive an email with a SmartPass link. This is a personal web page where your visitor can see their visit details, check-in code, and parking information -- no account or login required.

What your visitor sees

What appears on SmartPass depends on how much detail you provided when you sent the invitation.

If you provided their name and company

Your visitor's SmartPass is ready straight away. They will see:

Their check-in code (a short code they use when they arrive)
The expected date of their visit
The name of the person they are visiting (you)
Their parking bay and any vehicle registration details, if parking was arranged

If you only provided an email

Your visitor will see a short registration form when they open their SmartPass link.

They enter their first name, last name, and company.
They click Activate SmartPass.
The page updates to show their check-in code and visit details. You receive a notification that they have completed registration.

Vehicle registration

If you reserved parking for your visitor, they will see a field to enter their vehicle registration number. This helps reception and security confirm parking when they arrive.

Invite a visitor

When you have a guest coming to your building, you can send them an invitation ahead of time. They will receive an email with a link to view their visit details, check-in code, and any parking you have arranged.

Before you start

You need to know your visitor's email address. If you also have their name and company, you can fill those in now -- otherwise your visitor can add them later through their SmartPass link.

Send an invitation

Navigate to Visitors from the card.
Click Invite Visitor.
Enter your visitor's email address and choose the expected date for their visit.
Optionally, expand the details section and fill in their first name, last name, and company. If you skip this, your visitor can complete it themselves.
If you would like to reserve a parking space, toggle Reserve parking and select an available bay. You can leave the vehicle registration blank -- your visitor can enter it later.
Click Send Invitation.
You will see a confirmation, and the visit will appear in your visitor list.

Tip: You can invite up to 50 visitors at once -- handy for events or large meetings. You can also let visitors book their own parking by enabling self-booking instead of reserving a specific bay.
